JAZZ SCOTLAND FESTIVALS AND PROGRAMMES COORDINATOR
For twenty years, Jazz Scotland (JS) has been a central player in the vibrant Scottish jazz scene. As a promoter of live music and commissioner of new work, we have established valuable cultural infrastructure in the form of three flagship festivals (Aberdeen, Dundee, Islay) and provided high-quality paid opportunities to artists. This work helps to sustain the jazz, and jazz-related scenes, by contributing to the financial viability of professional artistic careers while also building audiences for jazz and related musics who consume their outputs. Driven by an experienced Board of Trustees, much of our previous achievements have been delivered by a very small team who have worked tirelessly to further the organisation’s ambitions.
As part of our small team that runs festivals year-round, the Festivals and Programmes Coordinator will work closely with Jazz Scotland's CEO and Development Manager to ensure that all elements of our festivals and other programmes are in place on time and within budget. The role is varied with a focus on costs, logistics and delivery.
Key responsibilities include:
- Event management, i.e. liaising with artists, venues, agents, sound and light suppliers and technicians, ensuring all necessary bookings, contracts and logistics are in place to meet our scheduled dates.
- On site event management ensuring coordination of all artists, technicians, box office, volunteers and venue management.
- Marketing, i.e. administration of in-house ticket sales system, collection of artist marketing materials, creating and overseeing marketing campaigns and schedules, liaising with external suppliers and partners.
- Artist management, i.e. to coordinate the collation of requirements for artists’ travel, accommodation and technical riders.
- Support CEO and Development Manager in collecting monitoring and evaluation data
- Recruiting and managing volunteers
- Other general and financial administrative duties.
Person Specification
Our ideal candidate will:
- Be passionate about bringing events, especially music festivals, concerts and performances, to life.
- Have a knowledge or interest in jazz and jazz related music.
- Have prior event management experience.
- Have marketing and promotional aptitude/experience.
- Have basic financial acumen for budget management.
- Have strong and up to date ICT skills.
- Be highly organized and detail-oriented.
- Have good problem-solving and decision-making skills.
- Be a clear communicator with strong interpersonal skills.
- Be flexible and adaptable as we work in a small team.

Hours of work: Part-time / 2.5 days per week. Flexible working hours can be agreed (eg during school hours). Out of hours working will be required for events.
Location: Office base - Aberdeen City. Travel will be required as per event requirements.
